What makes a landscaping estimate different
A landscape job mixes materials that are bought in five different units. Sod comes by the square foot, mulch and topsoil by the cubic yard, plants by the pot size, pavers by the pallet, and irrigation by the zone. Then there is the ground itself: clay, rock or roots can double the hours on a dig. A good landscaping estimate shows each material in its own unit and says what happens when the ground does not cooperate.
It also has to survive the client's budget conversation. Most homeowners will cut something. If every area of the yard has its own block of rows, they can drop the side yard without asking you to start over.
How to structure the line items
Write each area as a short group: prep, materials, install. Use the unit the supplier sells in, so your quantities match your material order.
| Description | Quantity | Unit | Unit price |
|---|---|---|---|
| Turf removal and grading, skid steer | 6 | hour | $125 |
| Tall fescue sod, installed | 1,800 | sq ft | $1.40 |
| Hardwood mulch, 3 in deep, installed | 6 | cu yd | $85 |
| Boxwood, 3-gallon, planted | 18 | each | $55 |
| Irrigation zone, spray heads and valve | 3 | zone | $850 |
Name the plant and the container size on every plant row. "Shrubs" leaves room for a fight over whether a 1-gallon was what they paid for. "Boxwood, 3-gallon" does not.
Digging is where landscape estimates go wrong. If you have not probed the soil, say what the price assumes: "Excavation priced for normal soil. Rock, buried concrete or roots over 2 inches in diameter removed at $95 per crew hour, with client approval before work continues." It turns a surprise into a known rate.
Worked example: front yard renovation
A 1,800 sq ft front lawn with tired turf, two foundation beds and no irrigation. The client wants new sod, a paver walk to the front door, and spray irrigation.
| Description | Qty | Unit | Unit price | Amount |
|---|---|---|---|---|
| Turf removal and grading, skid steer | 6 | hour | $125 | $750 |
| Tall fescue sod, installed | 1,800 | sq ft | $1.40 | $2,520 |
| Hardwood mulch, 3 in deep, installed | 6 | cu yd | $85 | $510 |
| Shrubs, 3-gallon, planted | 18 | each | $55 | $990 |
| Paver walkway, base and pavers installed | 120 | sq ft | $24 | $2,880 |
| Irrigation zone, spray heads and valve | 3 | zone | $850 | $2,550 |
| Debris haul-away and dump fees | 1 | load | $350 | $350 |
| Subtotal | $10,550 |
The mulch quantity comes from the bed area: about 600 sq ft of beds at 3 inches is 5.6 cubic yards, rounded up to 6. The paver price includes excavation, 4 to 6 inches of compacted base, sand, edge restraint and polymeric sand. If the controller and backflow device are not already on site, add them as their own lines.

Terms that belong on a landscaping estimate
- Validity: "Pricing valid for 30 days. Plants of equal size and value may be substituted if a listed variety is unavailable."
- Deposit: many landscapers take a deposit to order sod, pavers and plants, with the balance due on completion. Check your state's home improvement rules for caps.
- Plant warranty: "Trees and shrubs warranted for one year, one replacement per plant, provided they are watered as directed. Sod and annuals not warranted."
- Utilities: "Contractor will request 811 utility locates. Private lines such as irrigation, dog fence and landscape lighting must be marked by the owner."
- Exclusions: tree removal, drainage work beyond surface grading, retaining walls over 2 ft, and repair of unmarked private lines.
The common dispute: dead plants and dry sod
The most common call a month after the job: the new hydrangeas are brown, and the client wants them replaced. Half the time the irrigation was turned off or nobody watered. Without a written condition, you eat the replacement.
Put the condition next to the warranty, in plain words:
"Warranty applies only if plants receive water as directed in the care sheet provided at completion. Plants lost to under-watering, pests, animals or extreme weather are not covered."
Hand over a one-page care sheet with watering times for the first two weeks, and note on the final invoice that it was delivered. When the call comes, you can replace a plant you owe and decline one you do not, without an argument.
Prices on this page are ballpark US figures in US dollars for early 2026. They show how a quote is put together, not a rate survey: price from your own costs and your local market.
How to use
Three things, then download
Your business name, the client and the line items are all a PDF needs. Tax, dates and terms are there when you want them.
- 01

Business name, license number if your state requires one, phone, then the property address, the areas in scope and the square footage of each; put the site details in the notes.
- 02
Group line items by area
Front bed, backyard lawn, patio, irrigation: each area gets its own rows for site prep, materials and install, so the client can cut an area without redoing the whole estimate.
- 03
Price in landscape units
Sod and pavers per sq ft, mulch and soil per cubic yard, plants per unit by container size, irrigation per zone and grading per machine hour.

Frequently asked questions
Most landscapers price installation jobs for free. Design work is different: a scaled landscape plan often costs $300 to $1,500, and many designers credit that fee against the install if the client signs.
Measure the area in square feet and price it installed, commonly $1 to $2.50 per sq ft including prep and labor. Old turf removal and grading can be built in or listed separately; list them separately when the yard needs more than a light rake.
One cubic yard of mulch covers about 108 sq ft at 3 inches deep, or 162 sq ft at 2 inches. Measure the beds, divide, round up, and price mulch per cubic yard installed, often $70 to $120 depending on the type.
If you offer one, yes, with the length and the conditions. A common warranty is one year on trees and shrubs, one replacement per plant, void if the client does not water as directed or if the irrigation is off.
Thirty days is common. Plant availability and nursery prices change by season, so note that substitutions of equal size and value may be made if a listed plant is out of stock.
Yes. Every US state requires a utility locate request through 811 before digging, with a short waiting period that varies by state. Put "utility locates requested by contractor" in your terms so the client knows it is handled.
