What a rent receipt needs
A rent receipt is short, but each line has a job. The ones this template prints:
| Field | Why it matters |
|---|---|
| Receipt number | Shows nothing is missing between two receipts |
| Date paid | Matches the payment to a bank record or a late fee |
| Tenant and rental address | Ties the payment to the lease |
| Rental period | Says which month the money covers, not just when it arrived |
| Amount, in figures and words | Hard to alter after it is signed |
| Paid by | Cash, check, card, transfer or other |
| Signature | Makes it the landlord’s acknowledgment, not just a form |
Why three to a page with a stub
Receipt books from the office supply store have a stub for a reason: the landlord keeps a record of every receipt handed out. This template does the same on plain paper. Each US Letter page holds three receipts; the stub on the left keeps the number, month, tenant, amount and method. Cut along the dashed lines, give the tenant the right-hand part and file the stubs.
When the rent period does not start on the 1st
Set “Rent due on day” to the day in the lease, for example the 15th. Each receipt’s period then runs from the 15th to the 14th of the next month, so the dates match the lease instead of the calendar.
Rent receipts and taxes
Tenants use rent receipts for state renter’s credits and, in some cases, to show a rental history when applying for a mortgage. Landlords use the stubs to reconcile rental income at tax time. Either way, a numbered, dated and signed receipt for every month is the cleanest record. This is not tax advice; ask your accountant what your state requires.

Frequently asked questions
The date paid, the tenant’s name, the rental address, the amount, the period the rent covers, how it was paid, a receipt number and the landlord’s or manager’s signature. This template prints all of them.
It depends on the state. Several, including New York, California, Massachusetts and Maryland, require a receipt for rent paid in cash, in some states only when the tenant asks. Many tenants ask either way. Check your state’s landlord-tenant rules.
A tenant can fill one in, but it only proves payment once the landlord or manager signs it. Bank records of checks or transfers are also accepted proof in most cases.
Like on a check, writing the amount in words makes it hard to alter. The template fills it in from the monthly rent.
Tick just one month. You get one numbered receipt on the page.
