What goes on a receipt
A receipt answers four questions for the person who paid: who was paid, for what, how much and when. Everything on this receipt maker maps to one of those:
- Who: your business name and contact at the top, the payer under “Received from”.
- For what: one line per service or item, with quantity and unit price, so the total can be checked.
- How much: the total, the amount paid, and the balance due when the payment did not cover everything.
- When and how: the date paid and the method, such as “Check #1042” or “Card 4242”.
Add a receipt number and sign it, and you have a document that holds up for expense claims, tax records and the occasional “did I already pay you?”.
Paid in full or not
When the amount paid matches the total, the receipt carries a green PAID stamp with the date. When the customer paid less, say a deposit, the stamp is left off and the receipt shows the balance due instead. That keeps one rule simple: a receipt never says “paid” unless it was.
| Situation | Amount paid | What the receipt shows |
|---|---|---|
| Job paid on completion | Leave blank | Total, amount paid, PAID stamp |
| 50% deposit | Half the total | Total, amount paid, balance due |
| Final payment after a deposit | Leave blank | Enter the deposit already received as the discount, so the total is what is left |
Receipt, invoice or estimate?
They are three moments of the same job. The estimate goes out before the work and says what it will cost. The invoice goes out when the work is done and asks to be paid. The receipt goes out once the money is in. This site makes all three: start with the estimate generator, and come back here when you have been paid.
Cash, check, card or transfer
Pick the method and add the reference that identifies the payment:
- Cash: no reference needed. Sign the receipt, since it is the only record either of you has.
- Check: the check number, so the receipt can be matched to the bank statement.
- Card: the last four digits only. Never write the full card number on a receipt.
- Bank transfer: the transfer or confirmation reference.
What this tool does not make
It does not copy the look of a store, restaurant, ride-share or any other company’s receipt, and it does not make pay stubs. It is for money you received yourself. If you need a receipt for something you bought, ask the seller for one.
Free to use
The receipt maker is free, with no signup and no limit. Your draft is saved in this browser only. Free PDFs carry a light makemyestimate.com watermark. Pro removes it and adds your logo.

An invoice asks to be paid. A receipt confirms that you were paid. Send the invoice first, and the receipt once the money has arrived.
Yes. Type the amount that was actually paid. The receipt then lists the total, the amount paid and the balance due, and leaves off the PAID stamp.
No. This tool is for payments you received yourself. It does not copy the look of any store, restaurant or brand, and making a fake receipt to claim an expense or a refund is fraud.
Use a prefix and a running number, such as RCT-2026-041, and never reuse a number. Keep a copy of every receipt you hand out.
